Our company catered to a variety of customer needs in many different industries, and I regularly created case studies and testimonials. This process started with the Sales and Support teams. I would meet with them to learn about customers who were happy with the product or who had recently had a positive interaction with our staff. My colleagues and I would tag-team outreach in order to get a hold of the point of contact in a timely manner. Then, I would conduct a structured interview about their experiences.
Notes from the interview formed the foundation for the case study write-up. Focusing on the customer's success story or unique use case, I structured the testimonial around industry- or department-specific problem-solving. The final draft includes an impactful quote whenever possible. Case studies are valuable content. We recycled this into multiple other forms of collateral, such as social media posts, one-sheet PDFs, and as part of round-ups.
Gaylord Chemical Streamlines Documentation with Contentverse Document Management
Gaylord Chemical LLC is the Western Hemisphere’s greatest provider of dimethyl sulfide (DMS) and dimethyl sulfoxide (DMSO). These safe yet powerful chemical products are used in manufacturing, biotechnology, and agriculture. Gaylord is located in Louisiana, with a plant in Alabama which they opened in 2010.
They have been a Contentverse customer since 2003, mostly utilizing the solution for their accounting documentation. As they have seen productivity benefits from the solution over this long partnership, they look forward to the latest updates and what’s coming next from Computhink. Brent Duet is Gaylord Chemical’s IT Business Systems Manager. He spoke with us about the team’s Contentverse experience.
Chemical Company Accounting Files Stored in Contentverse
Gaylord stores Accounts Payable and Accounts Receivable documentation in Contentverse, as well as contracts with vendors and clients, payroll and time sheets, tax files, finance reports, fixed assets, and purchase orders. Brent says that they also store a little bit of Human Resources data in Contentverse. Across all of their users, they add an estimated 100 documents to the system every day.
They use the solution to process this information and to find it later. Everything gets filed so that it can be retrieved as needed, usually by their customer service group. This team looks for PO and contract files for reference with customers, and everything is at their fingertips. User permissions are easy to set for Brent’s IT team, so customer files remain incredibly secure.
Storing contracts in Contentverse, Gaylor Chemical also digitally speeds up approval processes. With simple drag-and-drop, all accompanying files can be easily added into Contentverse. They can then be sent to another user or securely emailed to a third party. This process has always been quick and simple, but Brent and his team are looking forward to even faster processes since upgrading to the Enterprise Web client.
Cloud-Based Storage and Web-Based Document Management
Contentverse is available as a web application, which can be deployed in the cloud. Gaylord Chemical was thrilled to upgrade and explore the new features and updated interface. Brent says that “moving from on-premise to cloud has been a dramatic difference.” Major strides in business software programming are happening online, which makes Enterprise Web the future for Contentverse. “It’s smoother,” Brent says, “more user-friendly.”
The Contentverse customer service team assisted Brent with the move to cloud and the Enterprise Web client. He says that working with them has been a good experience. “They were on it,” he says, “offering guidance and support to the team.”
The Enterprise Web client allows users to create Word Docs, Excel spreadsheets, and fillable PDF forms from within Contentverse – no need to open these files in their native applications to edit them. Teams can create preset document templates for forms or paperwork that needs to be created and submitted regularly. A user can simply open a template and add in or upload the information to complete it before sending it off. The more Brent, his IT team, and the accounting department use the new Contentverse, the more they will discover along the way to help make their tasks even easier.
Streamlining Approval Processes
The chemical production company is saving time and increasing productivity. Less files are mishandled and misplaced, and human error is increasingly mitigated by Contentverse’s features. After over two decades of partnership, they continue to use the system regularly.
Gaylord Chemical also purchased the Easy Index module. With Easy Index, an administrator can designate where the important zones are in a document type and what characters to look for in these areas. When a physical page is scanned in and digitized, Easy Index detects the established zones and reads the characters. If it picks up the right information, it can send a document to workflow or store it in the right folder automatically.
Brent says that his team is excited to dig deeper into this aspect of the product. The automated workflow is the next streamlining phase for them. They want to speed up their approval and sign-off processes. This would enable the company to complete more work and more orders more quickly, while also maintaining their impressive safety standards.
A Long, Rewarding Partnership Continues
Computhink and Gaylord Chemical have worked together to help streamline file storage, retrieval, and processing. This partnership has seen the release of multiple Contentverse versions and the evolution of Gaylord’s chemical production output. Both organizations have grown in that time.
The accounting team and Brent Duet are enthusiastic supporters of the product. Their recent upgrade and expansion will help them process even more documentation and manage more business. They couldn’t be happier with the ongoing growth. Brent tells us, “Just keep doing what you’re doing!”
